Weekly: Monday Morning Meeting
Every Monday the entire SQRD team meets at 10:00 am to review all company related items (time off requests, pipeline updates, messages from Clay, etc). Following this general company meeting, each fulfillment team lead will meet with the CS team to review the tasks for the upcoming week.
- Objectives
- Make sure any time-off that is scheduled or upcoming in the future will not conflict with any high-priority client deadlines.
- Have surface level discussions with the CS team about tasks; when a task needs a more detailed discussion schedule a time to chat 1:1 with the CS.
- Make sure Dev Team bandwidth is not stretched too thin.
- Discuss any upcoming project deadlines with the full CS time to make sure we're not overbooking ourselves on high-priority deliverables amongst all our clients.
MMM Guidelines
Task and Workload Parity
Every CS has to take care of several clients, and in one way or another every fulfillment team needs to take care of every client; historically this has led to some CS having more tasks assigned to Dev and thus taking time away from other clients to have their projects worked on.
One of the main purposes of this meeting is to make sure all client projects are moving forward at an acceptable pace, and no CS/client is being neglected because a bigger client gets all the time.
Managed Expectations
One of the most important things all teams do at SQRD is manage task, project, CS, and client expectations. Short and simple tasks are generally delivered in a quick and timely manner that matches expectations, but larger projects inevitably fall off-schedule. The sooner these delays are communicated to CS and the client the happier everyone will be. The MMM is an ideal time to stay ahead of any upcoming issues and also provides an opportunity for all CS to be present to re-schedule any tasks that might need to be moved to mitigate any urgent situations.
MMM Checklist
- Client Overview
- Quickly review all tasks needed for clients.
- Short Discussions
- If there are questions that need to be addressed, try and clear them up within a minute or so; if more time is needed schedule a quick meeting with the CS.
